MINUTES OF CONDO TRUSTEE BOARD MEETING

January 11, 2012

The meeting was opened by Andy Habe at 3:00 P.M.
Members of the board present: Andy Habe, Tom Fermi, Romeo Berthiaume, Marianne Williams
Member of board absent: Roger Lange

  1. The cash flow for the month of December was reviewed and approved. The bill payment form was signed.

  2. The update on the roof repairs indicated that last condo to be repaired is Tom Fermi's. The remaining repairs are not part of the insurance claim repair program. There is a skylight to be repaired and Margot Ligas's condo's final repairs which can be delayed until spring.

  3. Tom and Andy reported that Marinella's sister, Joy, called to say she heard from the insurance company and that the indications are not bright because of the following reasons:
    1.        the length of time since the buildings were erected (2000-2001)
    2.       there is a statute of limitations to report construction problems and seek remedy (7 years)
    3.       the insurance company is looking at alternate remedies.

    Joy Marinella will keep us informed regarding the decision of the insurance company.

  4. Wilson is continuing to work and will clean gutters and install wires on condos that requested them.

  5. On line voting- Bill Oncay has produced a program that will allow on-line voting for trustees as well as any other items that might need approval by ballot, i.e. amendments to the by-laws, etc. The board had many concerns about this, including privacy issues, resident who do not use a computer, possibility of a password to prevent someone from voting more than once. It was suggested the Bill present his proposal to the trustees, at the Feb 14 meeting, his efforts concerning the on line voting operations details.

  6. Open items- the overnight parking problem is resolved. Heat wires- while there are conflicting reports on the possible danger of plugging the wires into the lights, the board decided to reset the wires so they can plug into the GFCI boxes on the deck. Since a cover is not regulated by code, the use of a cover will be at the discretion of the owner. The board is requiring that all wires be plugged into the GFCI box. Any homeowner that wants a cover installed is asked to fill out a communication form. Emergency Green book- all homeowners are asked to contact Tom with information updates on contact persons or key holders. The new residents are asked to supply information as to who holds a spare key, or who to contact in case of an emergency. Names and correct working telephone numbers are essential. Marianne reported trying to contact a resident by means of an emergency number and the number was out of service. Because our homes are connected to one another, it is important that we have a means of contacting the owners, or their contact person when the owner is unreachable. Early snow removal for working residents- Tony Carlino advised Tom that it would be very inefficient to clean the drives with a hit and miss method. He is going to try to get here early enough to clean the drives and the road prior to residents leaving for work. He believes the use of the new equipment will enable the work to be done is a speedy fashion. The board voted to allow Leslie St. Jean to notify residents that she is available to help with income tax filing.

  7. Non-qualified resident- a doctors report has been received by the board indicating the qualified resident is in need of help with daily activities. The note has been accepted by the board.
