The meeting was opened by Chairman Andy Habe at 8:00 PM with all members present.
Andy Habe advised that the Rules and Regulations are being distributed however Page 7 is missing as well as the original copy. (It was later discovered that there was no Page 7 in the original document.) Marianne Williams will complete the distribution to the residents.
Merle Ray advised that we need to be conservative with funds for the rest of the year due to un-programmed expenses in some areas. The budget plan for FY 2008 is in progress but we need to schedule future jobs so that we remain within the budget. At the moment, power washing of buildings will continue with the fronts being done first. A list of jobs will be compiled for Peter Smith to accomplish.
LEI has terminated our contract effective 12/01/07. They will continue to perform all the fall requirements. They initially did not want to plow any snow in November. Tom Fermi has discussed this issue with them and is awaiting a reply. Carlino Landscaping will be doing aeration and grass seeding of front yards this week.
There was a discussion about the continuation of maintenance of the garage lights due to the probable departure of Tom Rogers. Marianne Williams will talk to Gilbert Joe about the possibility of him taking over this task.
Roger Lange reported that testing of fire/smoke alarms is almost complete with three buildings to test. Prior to the need for testing in 2008, Tom Fermi and Marianne Williams will develop procedures and a time schedule for completion of this task on an annual basis.
No response has been received from Basement Solutions concerning repair of the water leak at 30 Olde Canal Way.
Andy Habe and Tom Fermi will meet with Waste Management to negotiate a new contract for trash pickup and removal.
Approval was granted for a 90 day extension of the stay of an under 55 family member at a Nature View residence.
Because of the excellent work being done by Peter Smith (OCV handyman), a bonus of $100 was given to him in August. Under the assumption that this performance will continue, the Trustees voted to grant him another bonus at the end of November of this year and at the end of May, August and November in 2008. Use of his services has saved Olde Canal Village a considerable amount of money.

Chairman Habe thanked a number of residents for their ongoing assistance in the operation of the Olde Canal Village Trust. Some of the actions performed were the annual breakfast, the people delivering various papers to the residents, trimming of the shrubs, repair of the bulletin board, operation of the Olde Canal Village web site, painting of decks and doors by residents, removal of weeds from the side of Warsaw Street , and work done by the various committees. All of these activities are a contributing factor to the self-management of Olde Canal village saving all residents the cost of a management company. He also advised the residents of the fact that a new landscaping/snow plowing and removal contractor will be in place on December 1. This change came about because the current contractor (LEI) was not performing satisfactorily and by mutual agreement they will cease operations here on November 30. The new contractor, Carlino Landscaping will begin operations on December 1.
Chairman Habe advised the residents that the revised Rules and Regulations have been completed and delivery to units had begun. However, a page may be missing (Page 7) and it will be distributed. Also, the original copy seems to be missing and may have been delivered to a residence in error. If anybody has it, please return it to the Trustees.
Marianne Williams advised that several roof leaks had occurred and were repaired by our contractor (Two Brothers Painting). If any residents have similar problems, send a communication form to her for action.
Roger Lange gave a progress report on the fire alarm testing program and thanked residents for their assistance and cooperation. He also advised of the progress in washing buildings (fronts and backs).
Chairman Habe reiterated the need for the use of the communication forms to bring problems to the attention of the Board of Trustees. He also advised that our financial situation was good with approximately $70,000 in the Reserve Fund for future repairs. He also stressed the need for residents to read the revised documents being passed out. Preparation of the budget for FY 2008 is in progress and will be ready for the December meeting.
Chairman Habe also advised that two of the current trustees terms are coming to an end in June, 2008. He stressed the need for continued resident interest and assistance to help in various ways including running for trustee vacancies.
